The templates created automatically by Atlatos facilitate the invoicing of travel services. But under what conditions is a RKA template created?
All RKA templates are based on travel requests.
There are travel requests that:
- are created by the user before a booking can be made.
- automatically created by Atlatos when a booking takes place without a travel request.
- automatically created by Atlatos when a booking is imported via AirPlus matching.
Upon clicking on the item "My Data" -> "Travel Accounting" when navigating, templates are created using the travel requests as per the above-mentioned examples.
All past travel requests are taken into account. A template is also created for requests that are scheduled for 60 days (max.) in the future.
Travel requests for which a travel expense report already exists will not be considered.
Based upon travel requests, corresponding bookings which have not been cancelled up to this time point are now fixed and set. A "booked service" is created from such bookings.
Thereafter travel requests and associated "Booked Services" are copied and merged into trips, trip modules and templates.
Such templates are available and visible on the RKA home page. Important to note is travel modules for open settlements are also displayed.
Only the trip reason may be edited without creating a RKA from a template. All other actions will lead to the creation of a RKA. This also applies for retrieval of "Booked service" also when no changes or saved data has taken place.
